Job Summary:
Executive Coordinator role is currently based in Arlington, VA, and will provide project and/or administrative support to multiple team members at the direction of his or her manager. This includes support for up to three (3) executives, including the CEO, in all administrative tasks and other projects as required. Handles non-routine information and carries out activities following general guidelines with limited direction. Exercises independent thinking and discretion.
We are looking for someone with strong problem-solving skills and excellent verbal and written communication skills. Day-to-day responsibilities include management of all aspects of the calendar and travel schedule; booking travel; processing expense statements, arranging conference and online calls, and various other administrative activities. The Executive Coordinator will also serve as the main point of contact for communication and coordination of all Board activities including attending board meetings, taking minutes and coordinating all meeting and communications.

Specific Job Duties/Responsibilities:
* Schedules internal and external meetings; adjustment and prioritization of last-minute changes including logistics such as conference rooms, events, and catering.
* Provides calendar support to leaders and/or a team.
* Schedules webinars and conference calls and communication to all participants.
* Prepares logistics for meetings, including printing of materials, maintenance of calendar invites, greeting guests, and preparing technology.
* Gathers and compiles briefing and logistical materials for various types of meetings (in terms of frequency, level of seniority, level of detail, etc.).
* Responds to and follows up on calls, emails and other inquiries on executive's behalf.
* Arranges and maintains travel plans and itineraries for travel.
* Reconciles and completes expense reports, working with other administrative staff.
* Assists with scheduling board and other Association meetings and preparing and disseminating materials.
* Coordinates with key stake-holders regarding travel and other logistics for the Board of Directors.
* Conducts occasional research on varying topics to support Association needs.
* Handles record keeping and retention for the Board of Directors and other Association committees; assists with minutes.
* Works with Board of Directors and other Association leaders regarding meeting schedule and logistics.
* Point of contact for Board of Directors and Association partners as needed.
* Provides support for meetings, trainings, seminars and activities for the Association.
* Serves as primary point of contact for both internal and external inquiries and responds or escalates as appropriate with a high level of customer care.
* Performs all other duties as assigned.
