Nebraska Wesleyan University seeks applications for an individual who will provide administrative support for the Residential Education Office. The position will work 30 hours per week and has a full benefit package. Responsibilities include support for the operation of an 800-bed residential program at the university including office management, housing assignments/exemptions, occupancy tracking, and billing.

The successful candidate with assist with implementing student-centered residential operation procedures and overseeing communication processes to better serve students and the campus community. Working as a liaison between Residential Education and students, their families, and NWU staff including Physical Plant for maintenance and custodial needs in the halls is a high priority for the department. Therefore, the candidate will possess a high level of diplomacy, confidentiality, initiative, self-motivation and discretion with sensitive information.

Responsibilities
  • Greets and directs visitors, students, and staff; answers telephone and responds to information inquiries; directs calls when appropriate to the Director, Residential Education Coordinators, or other units.
  • Works with Director of Residential Education to develop operational residential policies/procedures.
  • Effectively communicates policies/procedures and supervises communication process.
  • Coordinates residential assignment system in database including room assignment, meal plan selection, and damage charges.
  • Generates monthly occupancy reports and hall rosters.
  • Coordinates billing process for housing and meal charges. Double-checks floor plans for accuracy before giving final approval, prorates all room and board changes and develops correspondence related to these changes.
  • Supports student move-in and move-out preparation including posting updated information to the website, assembly of student files and keys, and recording completion of housing forms/contracts and follows up with students to learn necessary information.
  • Manages the fob access system for Residential Education in coordination with the Director of Physical Plant, including the creation of new fobs, updating residential access, and supporting students with lost/replacement fobs.
  • Works to resolve student problems and acts as student liaison for housing problems.
  • Coordinates management of the budget including completing purchase orders and requests for payments, overseeing residential education budgets to ensure funds are available and bills are charged to proper accounts.
  • Trains staff and students regarding housing operations.
  • Assists Director of Residential Education in enforcement of residential life policies.
  • Supervises a student worker to support office operations.
  • Maintain confidentiality at all times.
Qualifications:
  • One to two years of previous experience as an administrative assistant.
  • Must have excellent human relations, plus written and oral communication skills
  • Must be able to work with diverse populations including students, faculty, and staff to ensure optimum residence hall operation.
  • Must possess skills in project management, planning, and decision-making.
  • Must be proficient in Microsoft Office Suite products including Word, Excel and Power Point.
  • Demonstrate good organizational skills, be detail oriented, adaptable, flexible, and work with multiple interruptions.
  • Must be punctual and have good attendance habits.
  • Demonstrate the ability to maintain and be responsible for confidential information.
  • Must have experience working with individuals who are experiencing a sense of urgency or distress.
